CHAPTER 1 - Searching for a PET/STRAY

Step 1:

Select the PAW icon to open the search engine.

Search pets by inserting the ID# (ear tag, chip). Search pets by inserting other reference numbers.

Search for pets using the Passport ID #.

Search for pets by searching for the Owner ID.

Note: The search works only with the full ID # of the physical person. If the person is found and there are pets registered, they will be listed in the grid.

Once found select the pet, by clicking anywhere on the row.

Step 4: If the full number is unknown, searching by a partial number will return all matching numbers containing those digits.

You can use the search function within the table to locate a specific animal.

To select the animal you have found, click anywhere on the corresponding row to view its details.


Looking for a shelter and finding an animal there

Step 1: To search for shelter we can enter the stalls and select shelter in search

Step 3: After navigating to the enclosure, click on the "Animal" link and select the desired animal; clicking on it will open its details.

CHAPTER 2 – Information about a pet / stray animal

The screen displays the basic data and options for the animal, including the CORE data in the upper left corner. Note that the PAW icon shows that you are currently in the PET folder.

EDIT PET INFO allows you to modify the information available on the animal.

Various information can be provided in regard to the pet, including a range of numerical identifiers and physical characteristics. Most importantly:

1. Pet ID is a system-generated number, to identify the animal in case you don’t assign any other numbers.

2. The archive numbers are custom numbers that are assigned by the administration of the shelter, for internal identification of animals that might not receive an ear tag or microchip.

3. A Tag ID# of the animal is transcribed from the identification device (chip, tag). When adding a number, a type of device must be selected.

4. The Tag type (e.g. ear tag) is not mandatory and added only to animals that have been processed by the shelter and will be released.

The ID # of the animal you have provided is crosschecked to other ID# for the selected animal identification device and eliminates the possibility for issuing duplicate numbers to animals. If you attempt to add a duplicate ID # an error message will be displayed.

Note: The ID # must be provided before the ADOPTION or RELEASE action of an animal.

Step 4:

1. The identification number of the responsible person is entered.

2. The date of animal identification must be specified.

3. The archive number is an individual number assigned by the shelter administration for the internal identification of an animal that may not be fitted with an ear tag or microchip.

Step 5: If the information is available, indicate it in the appropriate field.

Step 6: Enter the information related to the animal in the specified fields.

Step 7: If the information is available, enter it in the relevant fields and click the “Save” button.

Step 8: When taking in a stray animal, a window for entering information related to the intake automatically opens. Here, you can specify the circumstances under which the animal was taken in. In particular:

1. Reason for intake.

2. Type of intake.

3. Location and address of the animal at the time of intake.

4. Date of intake.

5. Weight of the animal at the time of intake.

6. If necessary, the coordinates of the intake location according to the Global Positioning System (GPS).

There are also other fields available.

After completing the fields, click the “Save” button.



CHAPTER 3 – PET/STRAY related persons

Step 1:

The PET HEALTH BOOK is used to register various treatments for the animal.

Once clicked the recorded history of treatments is displayed in the grid.


To record the treatment administered to an animal, use the “The PET HEALTH BOOK”. Clicking on it will open the history of treatments that have been performed and recorded.

Step 2:

By clicking on the OWNER or PERSON CONTACT, the relevant persons linked to the animal will be displayed.

You can register and link a new person which has not been registered in the NAITS or you can FIND and link an existing person.

By clicking on the grid of the person you will open the PERSON editing section of the NAITS.

You can remove an owner with the Inactivate pet owner, if the animal was returned by the person which has adopted it.

You can get a history of the owner’s report where all changes of owners have been recorded.

Note: For how to edit a person see the NAITS Responsible persons Manual.


By clicking the “Owner” or “Contact Person” buttons, a list of people associated with the animal will be displayed.

You can register a person who has not previously been registered in the NAITS (National Animal Identification and Traceability System) and link them to the animal, or use the “Search” function to find an already registered person and link them to the animal.

Clicking on a person’s record will open the “Person” editing window.

If the owner returns the animal after adoption, use the “Deactivate Pet Owner” button to remove the owner.

You can also view the ownership history. This section lists all previous owners of the animal.

Step 3:

You can search for a person registered in NAITS using the HOLDING RESPONSIBLE icon.

Step 4:

In each holding responsible physical and legal entity, you can see the linked pets by opening the OWNER OF PETS and PERSON OF CONTACT in the PETS section.

All the linked pets will be displayed in the grid.



CHAPTER 4 – PET/STRAY information




PET/STRAY Treatments

Step 1:

The PET HEALTH BOOK is used to register various treatments for the animal.

Once clicked the recorded history of treatments is displayed in the grid.

1. “Date” indicates the day on which the animal received the respective treatment.

2. Information about the person who performed the procedure.

3. The “Treatment Type” is added automatically by the system based on the registration type of the “User” (public or private).

In the “Disease code” field, select the disease against which the measure is being carried out.

Step 5: When you click on “Name of Drug”, a window will open displaying a list of registereddrugs. From this list, select the product being used.

Pet Passport

Step 1:

A pet passport is usually issued by the Veterinary clinics. The ADD button allows adding of a PET passport.

The ACTIONS button allows the changing of the status/cancelation of previously issued PET passports.

Adding a second PET passport automatically invalidates the existing passport. The PET passport can be edited by clicking on the grid.

Step 2:

The PET passport includes a unique Passport ID, which in the system will be connected to the animal ID#.

Adding a veterinary station is mandatory, as only veterinary stations can issue PET passports.

The PET ID is added automatically. In case applicable the PET passport validity can be added.



Inventory Item

Step 1:

The INVENTORY ITEM section is used only for NFA issued identification devices, in cases when they are provided for use to individual holdings.

Note: For the use of the INVENTORY ITEM section please refer to the Holding level from the Inventory manual.



Movement History

Step 1:

The MOVEMENT HISTORY section records the movement of the animal between holdings i.e. shelters and vet clinics.



Ear Tag Replacement

Click on “Replace Ear Tag”.

Step 2:To replace the ear tag, specify the new ear tag number, the reason for replacement, and the replacement date. A comment can also be added if necessary.



Quarantine

Step 1: To check whether the animal is in quarantine, click the “Quarantine” button.


Samples to be sent to the laboratory

Step 1: In the “Samples to be Sent to the Laboratory” section, you can view which samples have been sent to the laboratory or, if necessary, create a new sample.

To create a new sample, click the “Add” button.

In the window that opens, select the disease for which the laboratory test is to be performed.

Multiple diseases can be selected.

  • Laboratory Name – filled in automatically by the system.
  • Ear Tag – the animal’s identification number must be entered manually.
  • Holding Number – filled in automatically by the system.
  • Owner – filled in automatically by the system.

A comment can also be added if necessary. After completing the fields, do not forget to click the “Save” button.

After saving, the sample will appear on the left side. It must then be assigned to the laboratory where the sample testing will be performed. To do this, select the sample, go to “Actions”, and click “Laboratory”.

To select a laboratory, specify the search criterion (laboratory identification number, laboratory name, or physical address) and click “Search”. From the displayed list, select the desired laboratory.

Pet Collection and Release

Step 1:

“PET COLLECTION DETAILS ” is activated only if the animal was identified as “Stray” during registration.

This section contains the history of the animal’s intake cases, which is added when the animal is registered.

When completing the intake information, specify the reason for intake, type of intake, archive number, response act number, and enclosure number. You should also provide the address from which the animal was taken in, information about the person who initiated the intake, and other relevant details.

After completing the fields, click the “Save” button.



Stray Animal Adoption/Release Details

Step 1: In the “Stray Animal Adoption/Release Details” section, you can view the available information about the animal’s previous adoptions and releases. To view the details, click on the relevant record, if one exists.

Printouts

Step 1:

From this section of the system, we can print three types of documents:

  1. Stray Animal Information
  2. Stray Animal Passport
  3. Stray Animal Owner Information

Step 2:

When printed, the Pet Passport and Health Certificate will be generated.

The Health Certificate is used by the National Food Agency when issuing a pet travel certificate.

When printed, an information sheet related to the pet/stray animal will be generated, containing all the information recorded in the system for that animal.

The information sheet can be used for various purposes, including the issuance of an animal adoption document.

CHAPTER 5 – Animal Shelter/Holding




Navigating to the shelter

A holding can be found by entering the holding number in the Quick Search field.

A holding can also be found by searching in the Holdings List.

Note: For information on how to search for a holding in the Holdings List, see the “Holdings Instructions.”

To find a shelter, go to “Holdings” and select “Shelter” in the search criteria.

Holding overview

Step 1: Key information about the holding is displayed in the upper-left corner of the screen.

Note: The “paw in a house” icon indicates that you are currently inside the holding.

Brief information about the holding is displayed in the center of the screen.

The left side of the screen contains the parameters and sections related to the holding.

The basic data for the holding is listed in the HOLDING section.

Note: For editing the holding data and changing the status of the holding, consult the Holdings manual.

Responsible person

Step 1:

The “Responsible Persons” section allows you to register a natural person or legal entity responsible for the holding.

In the “Caretakers” section, you can register natural persons associated with the holding or, in the case of a holding owned by a legal entity, a natural person (manager) associated with the owner.

Note: For instructions on how to add or edit responsible persons in a holding, see the “Responsible Persons Instructions.”

Step 2: To add a person, click the button shown in the upper-right corner.
  • If the person is already registered in the system, click “Find Existing”.
  • If the person needs to be registered, click the “Add” button.

Step 3: When “Find Existing” is selected, a window will open where you can search for a person using the specified information. One or more matching persons will be displayed. Select the appropriate person and click on their record to link them to the holding.

Step 4: When “Add” is selected, a form will open where you need to enter the person’s information. After completing the required fields, click “Save”.



Pet overview

The “Stray Animals” section consists of several subsections:

  • Stray Animals
  • Euthanized / Dead

Step 2:“Stray Animals” – displays the animals currently present at the holding and allows new animals to be added (as shown in Chapter II).

Actions Performed on Stray Animals

Before performing any manipulation, you must first select the animal on which the respective manipulation will be performed (vaccination, sample collection, castration/sterilization, etc.).

After the manipulation has been performed, it will appear in the animal’s individual menu, where the activity details must be added.

Pet movements



There are two ways to move around pets with a known ID# into the holding:

If an animal needs to be transferred directly from a holding to a shelter, click the “Collect PET with Direct Transfer” button.

A window will open where you must select the desired animal using the identifier type and the animal identification number, and then click on the animal.

In the window that opens, specify the transfer date and confirm that you want to transfer the animal. After confirmation, the animal will appear in the shelter.

Transfer from Another Holding

Step 1: The “Transfer from Another Holding” section shows which animals have been transferred from another holding.



Quarantine

Step 1:To view the current quarantine, go to the “Quarantine” section.

If you need to add a new quarantine, click the “Add” button.

In the window that opens, complete the following fields:

  1. Quarantine Start Date
  2. Quarantine End Date
  3. Reason for Opening the Quarantine
  4. Conclusion
  5. Serological Test Details

After completing the fields, click the “Save” button.

Step 4: After saving, the newly created quarantine will appear. Animals can be added to it from the “Activities” section by selecting “Add to Quarantine.”

Step 5: After opening the quarantine, you can search for the desired animal and remove it from quarantine.




PET search

Step 1:

To search for a stray animal, click “Search” in the menu on the left. A window will then open where you can search for the animal.

Step 2: Enter the information available to you in the relevant fields and click “Search.”


State Control

In the “State Control” window, a specially prepared questionnaire should be displayed, which will be added by the relevant authorized persons.
