CHAPTER 1 - Searching for a PET/STRAY

Step 1:

Select the PAW icon to open the search engine.

Search pets by inserting the ID# (ear tag, chip). Search pets by inserting other reference numbers.

Note: Once found select the pet, by clicking anywhere on the grid.

Search for pets using the Passport ID #.

Search for pets by searching for the Owner ID.

Note: The search works only with the full ID # of the physical person. If the person is found and there are pets registered, they will be listed in the grid.

Once found select the pet, by clicking anywhere on the row.


CHAPTER 2 – PET/STRAY info

The screen displays the basic data and options for the animal, including the CORE data in the upper left corner. Note that the PAW icon shows that you are currently in the PET folder.

EDIT PET INFO allows you to modify the information available on the animal.

Various information can be provided in regard to the pet, including a range of numerical identifiers and physical characteristics. Most importantly:

1. Pet ID is a system-generated number, to identify the animal in case you don’t assign any other numbers.

2. The archive numbers are custom numbers that are assigned by the administration of the shelter, for internal identification of animals that might not receive an ear tag or microchip.

3. A Tag ID# of the animal is transcribed from the identification device (chip, tag). When adding a number, a type of device must be selected.

4. The Tag type (e.g. ear tag) is not mandatory and added only to animals that have been processed by the shelter and will be released.

The ID # of the animal you have provided is crosschecked to other ID# for the selected animal identification device and eliminates the possibility for issuing duplicate numbers to animals. If you attempt to add a duplicate ID # an error message will be displayed.

Note: The ID # must be provided before the ADOPTION or RELEASE action of an animal.

5. The STRAY status of the animal is regulated by the IS STRAY PET, a question to which you can answer YES, to confirm the status of stray. This confirmation unlocks and opens the pop-up to add PET COLLECTION details, on where the animal was captured.

For NON-STRAY animals it is considered that they were brought by an owner/caretaker.

6. The PET type is also mandatory in order to be able to crosscheck against the identifiers of other animals of the same type.

When a stray animal is collected, the collection details box automatically opens. Here you can provide details about the location where the animal was collected.

You can add:

1. the location and the address where the animal has been captured;

2. the date when the animal has been captured;

3. the weight of the animal during the capture;

4. GPS coordinates for the capture as needed.



CHAPTER 3 – PET/STRAY related persons

Step 1:

The PET HEALTH BOOK is used to register various treatments for the animal.

Once clicked the recorded history of treatments is displayed in the grid.

By clicking on the OWNER or PERSON CONTACT, the relevant persons linked to the animal will be displayed.

You can register and link a new person which has not been registered in the NAITS or you can FIND and link an existing person.

By clicking on the grid of the person you will open the PERSON editing section of the NAITS.

You can remove an owner with the Inactivate pet owner, if the animal was returned by the person which has adopted it.

You can get a history of the owner’s report where all changes of owners have been recorded.

You can search for a person registered in NAITS using the HOLDING RESPONSIBLE icon.

Note: On how to search for holding responsible please see the HOLDING Responsible Manual section.

In each holding responsible physical and legal entity, you can see the linked pets by opening the OWNER OF PETS and PERSON OF CONTACT in the PETS section.

All the linked pets will be displayed in the grid.



CHAPTER 4 – PET/STRAY information




PET/STRAY Treatments

Step 1:

The PET HEALTH BOOK is used to register various treatments for the animal.

Once clicked the recorded history of treatments is displayed in the grid.

Step 2:

1. Action date refers to the day when the treatment was administered.

2. Treatment type is added automatically (state or private), dependent on the registration of the USER in the system.

3. The vaccinations of pets have been grouped under four possible options. Select one as needed, to allow cross-checks for issuing animal passports.

4. Vaccine number refers to the control manufacturing number on the vaccine vial.

5. Manufacturer refers to the producer of the vaccine.

6. Selection of an NFA health campaign is reserved for NFA field workers. The list for selection will be empty if NFA is not implementing any campaigns.

7. The Activity type serves to further identify the treatment administered.

8. The Sample taken provides the possibility to indicate the type of sample from the animal. The PETS module is currently not connected to the NAITS laboratory module.

9. For vaccinations, an appropriate immunization period can be added.



Pet Passport

Step 1:

A pet passport is usually issued by the Veterinary clinics. The ADD button allows adding of a PET passport.

The ACTIONS button allows the changing of the status/cancelation of previously issued PET passports.

Adding a second PET passport automatically invalidates the existing passport. The PET passport can be edited by clicking on the grid.

The PET passport includes a unique Passport ID, which in the system will be connected to the animal ID#.

Adding a veterinary station is mandatory, as only veterinary stations can issue PET passports.

The PET ID is added automatically. In case applicable the PET passport validity can be added.



Inventory Item

Step 1:

The INVENTORY ITEM section is used only for NFA issued identification devices, in cases when they are provided for use to individual holdings.

Note: For the use of the INVENTORY ITEM section please refer to the Holding level from the Inventory manual.



Movement History

Step 1:

The MOVEMENT HISTORY section records the movement of the animal between holdings i.e. shelters and vet clinics.



Pet Collection and Release

Step 1:

The PET COLLECTION DETAILS section becomes active only if the animal is identified as STRAY during registration.

This is a history of collections added during the registration of the animal.

The PET RELEASE DETAILS section pops up only if the animal has been RELEASED from the shelter.

This is a history of releases added during the release of the animal.

Here you can add:

1. the location and the address where the animal has been released;

2. the date when the animal has been released;

3. the weight of the animal during the release;

4. GPS coordinates for the release as needed.



Printouts

The PRINTER button allows you to print a Health certificate for the PET PASSPORT where all the recorded animal treatments have been added.

The document is used for NFA to issue pet travel certificates.

The PRINTER button allows you to print an Info certificate for the pet/stray, where all the recorded animal information have been added.

The document is used for a variety of needs, including issuing of a PET ADOPTION document.



CHAPTER 5 – Animal Shelter/Holding




Navigating to the shelter

Step 1:

You can find your holding using the holding number in the quick search field.

You can also find your holding using the search in the Holdings register.

Note: On how to search for your holding using the Holding register, please consult the Holdings Manual section.

You can navigate to holding where an animal is located by clicking on the HOLDING number shortcut provided in the upper left corner.



Holding overview

The Core info on the holding is provided in the left upper corner of the screen.

Note: the PAW IN HOUSE icon, shows that you are currently in the shelter.

The summary data is displayed on the central section of the screen.

The holding sections/options are provided in the right section of the screen.

The basic data for the holding is listed in the HOLDING section.

Note: For editing the holding data and changing the status of the holding, consult the Holdings manual.

The holding KEEPER section allows the registration of a Physical or Legal entity responsible for the holding.

The Holding associated section refers to a registration of physical entities related to the holding, or a physical entity (manager) associated to a KEEPER which is a Legal entity.

Note: For adding and editing of Responsible persons to a holding, please consult the RESPONSIBLE PERSONS Manual.



Pet overview

The PETS section is the main section where an overview of the animals in the shelter is provided.

The screen is divided into two sections:

1. Left Screen where all the ACTIVE animals with archive and ID# are shown and

2. Right Screen where all the animals which have left the shelter are shown (DEAD, EUTHANIZED, RELEASED and ADOPTED).

You can use the screen slider to move the grids in the screens left and right to see the info, or you can export it to Excel.

The pet can then be moved between the screens (active and inactive status) by changing the status using the ACTIONS ⇒ Change Status button, moving a VALID animal to the right screen with a relevant status.

If a pet is released or adopted a pop-up screen will request the location of the release or the identity of the person adopting the pet.

Actions also include PET activity ⇒ Vaccination and Sampling quick action, which creates a log in the pet health book. You can edit the health book as needed later.

This option is reserved for ongoing vaccination and sampling campaigns on a central level.

Adding vaccinations to animals out of a campaign is done in the PETS ⇒ Treatment section.

A new animal can be registered using the ADD button, which will open the basic PET information registration.

This option is used for the registration of previously unregistered animals.

Note: See Chapter 2 of this Manual.



Pet movements



There are two ways to move around pets with a known ID# into the holding:

When you are in the recipient holding and we are dealing with an animal that has been registered in any shelter or veterinary station (irrespective of the status of the pet) and location, we use the COLLECT PET WITH DIRECT TRANSFER button.

  • Select the type of search and the search parameter (e.g. PET number and add the number to find the animal). Click the desired animal in the grid to start the transfer. If this is an animal that belongs to another holding, the system will ask if you are sure that you want to take this animal. If so, add the date of transfer and press PROCEED.

  • The animal will move to the holding and the movement record will be recorded in the Collected pets screen, which is a history of all collections for the shelter.

Step 2:

The second movement option is for recording movements between holdings, for instance sending a pet from one shelter to another.

Select the checkmark of the pet and use the ACTIONS ⇒ Move ⇒ Move pet button.

  • Select the holding number where the animals are moved to (only holding numbers of Animal Shelters and Vet clinics) and select the movement date. The pet will be moved, and the movement record will be recorded in the Released pets screen.

  • The animal will move to the holding and the movement record will be recorded in the Released pets screen, which is a history of all Releases for the shelter.

The print button allows the printing of a historical report for the activities of the holding.
