WORKFLOW ASSISTANT
Chapter 1 - Workflow Assistant - I>
Step 1:
On the main screen you can see the number of unread messages received by you. Click on the Messages button to access the Workflow Assistant. | |
Step 2:
The workflow assistant is an internal NAITS messaging platform that functions in principle like a standard emailing system. In the main screen you can see the standard Search, Create new message, Inbox, Sent and Archived folders. | |
Step 3:
The search option allows you to search among all messages in the system using mentioning of a text variable in the various segments of the message. Once you have found the message you were searching for, click on it to access it. | |
Step 4:
The CREATE NEW MESSAGE button allows you to generate a new communication. | |
Step 5:
Adding recipients can be done in the standard TO, CC and BCC format. The recipients to be added are selected among the users of the system, with filtering as you type. | |
Step 6:
If you would like to send a message to the NFA Officer responsible for a certain region or Municipality select the target destination from the REGION or MUNICIPALITY list. Both cannot be selected. The Region and Municipality representatives are nominated in the ADMIN module. The REGION and MUNICIPALITY officers are automatically copied to any message that mentions an animal or holding number in their respective coverage areas. | |
Step 7:
Add additional references for identification of the message or issue, including SUBJECT, CATEGORY (type of message), reference to any of the NAITS modules (MODULE NAME) and its PRIORITY. Finally type in the message text. | |
Step 8:
Click the clip icon to access the attachment options. You can attach a reference to an Animal ID#, Holding ID# or Holding Responsible person ID#. | |
Step 9:
Use the standard selection engine to find and link the Animal ID#, Holding ID# or Holding Responsible person ID#. | |
Step 10:
You can attach multiple references of the same type or different types to the message. Click SEND when done. | |
Step 11:
The messages you have sent are available in the SENT folder, listed chronologically. | |
Step 12:
Click on the message to enter it and to see the message details To add additional messages in a standard “email chain” or “chat” fashion, click on the Reply button. All users in CC or BCC will also receive the reply. | |
Step 13:
Click on the INBOX folder to see the messages you have received, listed in chronological order. Already read messages and completed tasks can be Archived by clicking on the BOX icon. Note: The sender user and users in CC or BCC will receive confirmation that the message was archived. | |
Step 14:
Click on the message to enter it and to see the message details Any additional messages will be displayed in a standard “email chain” or “chat” fashion. Click on the REPLYbutton to add a comment. | |
Step 15:
If you click on the Attached Animal, Holding or Responsible person link in the message, a window with their details will be open for review only. | |
Step 16:
Open the Archived folder to see all the messages that have been archived. You can revert a message to its active status by clicking on the UNARCHIVE folder icon. | |
Step 17:
Click on the message to enter it and to see the message details. Any additional messages will be displayed in a standard “email chain” or “chat” fashion. Click on the Reply button to add a comment. |
