MANAGEMENT OF INDIVIDUAL ANIMALS GEO
CHAPTER 1 – Creating a new animal
| Step 1: Find the holding in which the animal is to be created
To add a new animal, first you need to find/create a holding where the animal will be registered. From the on-screen menu, select the Holdings button. Note: On how to find or create holding please consult the Holding manual. | |
| Step 2: In the holding screen select the ANIMALS section
In the main holding screen you can see the number of each type of animals or flocks/herds. Press on the ANIMALS button to open the menu for individually registered animals. | |
| Step 3: The animal section
The section consists of lists of active (valid) and inactive animals (with various statuses) in the left and right side of the screen. | |
| Step 4: Add a new animal
To add an animal, click the ADD button and a window will appear where you have to fill in the required data. | |
| Step 5:
When the new animal box is opened, Georgia as country of registration is already selected. If the animal is from an EU country, and if the owner wants to keep the original ear tag, select the apocopate country of origin. | |
| Step 6: Adding the animal number
Enter the animal identification number in the appropriate box. The Georgian ear tag has 8 digits and the number you have entered must correspond to the numbers available in the inventory of your region/ municipality. | |

If you type a non-existing number, the following message will be displayed. | |
| Step 7:
If you add a number and type of animal which already exists, they system will show you the animal and the holding number where it's located. The system will inquire if you like to move the animal (DIRECT MOVEMENT) to this holding. Cancel this action and check the re-number you are entering. If the message repeats, it means that the animal has already been created. In this case, please contact your administrator. Direct movement should be used only if authorized by your supervisor. | |
| Step 8:
For imported animals from other than EU countries the ear tags and their numbers must be replaced with a Georgian ear tag and number. If the owner wants to, the EU ear tags/numbers can be also replaced with Georgian. After adding the new Georgian number, also add their original and select the country of origin. | |
| Step 9:
Select the date when the animal has been registered and add the details on the animal appearance (type, gender, color, breed). | |
| Step 10: Add the birth date of the animal
If the exact birth day is not known, leave the box empty and add in the indicted boxes the estimated age in years/months. Press the button CALCULATE AGE and the system will assign an estimated birth date. If you have made a mistake, press the RESET AGE button. | |
| Step 11: Select the animal identification date
Please add the date on which the tag has been placed on the animal, as provided in the Status Update Form. | |
| Step 12: Date of death for the animal
The field is filled automatically, once the animal status has been changed into DEAD, DESTROYED or SLAUGHTERED in the holding or in a slaughterhouse. | |
| Step 13: Add parental animal numbers
If the identification numbers of the animal's parents are known, they should be indicated in the above boxes (in case of artificial insemination - the lot number). Note: Please note that if you add a number of a male animal for Mother ID number, or vice versa, the system will reject it. Finally SAVE the data. | |
| Step 14: Printing animal record/passport
Click on the row of the animal to enter the animal records. Once there, click on the PRINT ⇒ ANIMAL RECORD button, to print the animal Record/Passport. |
CHAPTER 2 – Finding an existing animal
| Step 1a: Finding an animal through quick search
In the main screen, enter the animal’s number in the Quick search field and click on the magnifying glass button. Then click on the resulting number to access the animal records. | |

You can also search for an animal through the animal registry. | |

Step 2: Search the Animal register
You can search for an animal by using one of the listed indicators/characteristics. In the resulting list of animals, you can refine your search by using the filter options. Finally click on the row of the animal to enter its records. |
| Step 3: Individual Animal screen
Once you have accessed the animal screen, pending on the action needed, you may edit the animal directly, or you may want to navigate to the Animal Section in the HOLDING by clicking on the Holding Identification Code. | |
| Step 4: Filtering animals in the Animals section of the holding screen
Once you enter the animal section of the holding, you can additionally refine your search through the filtering options. The filters are available both for the Valid and Invalid animal screens. |
CHAPTER 3 – Editing an existing animal and animal statuses
| Step 1: Editing data in the individual animal screen and saving
To edit the basic animal data, click on the animal row from the animal screen in order to access its records. Once the animal records are open, selected the EDIN ANIMAL INFO button to open the registration data. Remember to SAVE your changes. Note: The Animal Number cannot be edited. If you have generated an animal with a wrong ID number by mistake, please use the REPLACE EAR TAG function to contact your administrator to correct the issue. | |
| Step 2: Changing the status of the Animal
Select the animal/s of which you would like to change the status. Select the ACTONS menu, select RETIRE and click on the status of your choice. | |
| Step 3: Changing of wrongly added status
A wrongly added status can be corrected by clicking on the row of the animal in the right screen, to access its records. Once in the records, click on the UNDO ANIMAL RETIREMENT button and Execute the action. The animal will be reverted to valid status. Note: Please note that the SOLD and LOST status can be reverted only by the administrator. The status SOLD and LOST also affects the animal movement and admission to the slaughterhouse. |
CHAPTER 4 – Mass generation of animals
| Step 1: To generate multiple animals at once with a sequence of ear tags, select the GENERATE MASS ANIMALS button. | |
| Step 2: Fill in the animal type and add the sequence of the ear tag numbers.
Press the GENERATE MASS ANIMAL button to finish the action. Note: The mass generated animals will not have individual information such as breed, color, parental information, birth date etc., which have to be added individually. |
CHAPTER 5 – Replacement of Ear Tag and Searching of replaced ear tags
| Step 1: Selecting of animal
If an ear tag is lost, or damaged or if you would have made a mistake in registering a wrong number of ear tag, please replace the number through the REPLACE EAR TAG action that ensures that the wrongly added ear tag is returned to the inventory. First select the animal from the ANIMAL list in the Holding, by clicking on the row. | |
| Step 2: Select the replace ear tag button
In the animal record’s screen, select the REPLACE EAR TAG button. | |
| Step 3: Add the replacement ear tag and save
Add the new/ correct ear tag number. Add the reason for replacing, by selecting one of the following: Replaced, Damaged, Lost, Faulty and Wrong entry and select the date of replacement.
If you have by mistake added the number of a wrong ear tag replace it by selecting “Wrong entry” as reason. The wrongly entered ear tag will be changed with the newly added and the wrongly entered ear tag will reappear in the INVENTORY at HQ level as unused/valid . For all other scenarios both the old and the new ear tag will be spent and removed from the inventory. Appropriate record will be kept. | |
| Step 4: Confirmation of the change and numbers
If you select the EAR TAG REPLACEMENT button, the record of the action will be available, showing both the new and the old number of the ear tag. | |
| Step 5: Searching for an replaced ear tag
Replaced animal tags are deactivated and as such are not found in the standard search options for valid ear tags. | |
| Step 6:
Searching for replaced ID can be done through the ANIMALS search screen. | |
| Step 7: :
If you search for an ear tag number that does not exist both in the inventory or on any of the valid animals, the system will request permission to search the registry of replaced ear tags. | |
| Step 8:
Alternatively, searching for replaced ear tag numbers is possible through a specialized search in the search window. Select the OLD EAR TAG option and enter the ear tag number. Once the search is completed click on the record of the animal. | |
| Step 9:
The record will open the INDIVIDUAL ANIMAL SCREEN, where you can open the EAR TAG REPLACEMENT window to see the details of the tag replacement. |
